1. Subject-Matter of this Data Protection Policy

We are happy about your interest in our website and our offers on our web pages.   The protection of your personal data (hereinafter in short "Data") is a major and very important concern for us. Accordingly, in this document, we would like to provide you with comprehensive information about (i) which Data is collected when you visit our website and use our services available there, (ii) how this Data is then processed or used by us, and (iii) which accompanying technical and organizational safeguards we have adopted in this respect.

3. Collection and Use of Your Data

The scope and type of collection and use of your Data differs depending on whether you only visit our website to retrieve information, use services offered by us or log into a secure area for health care professionals (HCP): 

a. Use for Information Purposes 

It is not necessary to enter personal data in order to use our website for mere information purposes.   Rather, in this case, we only collect and use your Data to the extent it is automatically transmitted by your web browser.

This includes in particular:

  •     date and time of the retrieval of one of our websites
  •     your browser typethe browser settings
  •     the operating system used
  •     the site most recently visited by you
  •     the transmitted data volume and the access status (file transmitted, file not found etc.) as well as
  •     your IP address.

With the exception of the IP address, we only collect and use this data in non-personal form in case of a visit for information purposes. This is done in order to facilitate the retrieval and use of the web pages requested by you, for statistical purposes and to improve our web presence.  We also use the IP address for these purposes. We only store it for the duration of your visit; there is no analysis involving personal data.

b. Use of Services

To the extent you wish to use the services offered by us on our website, such as e.g. subscribe to a newsletter or use the contact form, it is necessary that you enter additional Data.  This includes all the Data required to provide the desired service, respectively, i.e. for example your email address if you subscribe to an email newsletter. Depending on the service, you have the opportunity to voluntarily enter additional information. The required fields are marked as such by us.  In this case, the collection or use of your Data is made for the purpose of providing the service desired by you, respectively, i.e. for example to send you a newsletter to which you subscribed. 

c. Logging into the non-public area

In addition, we offer registered users the possibility to log into the non-public area. This is reserved to health care professionals.

Here, you have the possibility to log in via a registration made with us. To this end, you must enter your user name and password for authentication.

To the extent you are not yet registered as HCP with us, you can make this registration. In this case, we will request various Data from you in order to verify your status as HCP. This includes in particular your name, your profession and your business address. After successful verification you will receive your access data which you can use to log into the non-public area.

Alternatively, we offer the possibility to log in via an existing “” account. If you choose this possibility you are forwarded to, i.e. to the website of the external service provider DocCheck Medical Services GmbH, Vogelsanger Straße 66, 50823 Cologne. This website is subject to the regulations and data protection policies of In case of a successful registration with, we will be informed thereof and you will then receive access to our non-public area.

Your log-in data is collected or used for purposes of your authentication, respectively.

4. Double Opt-In Process

We frequently use the so-called double opt-in process for our services, e.g. for the dispatch of newsletters or press releases.

This means that when you register, e.g. for a newsletter, you have to enter your email address and declare that you wish to receive the newsletter by actively checking a box (first opt-in).

We will then send a confirmation email to the email address stated in the registration, asking you to click on the link included therein (second opt-in). You will only receive the services requested insofar, i.e. for example the newsletter, once this is accomplished.

By contrast, if the link included in the confirmation email is not clicked on promptly after receipt thereof, we will automatically delete the underlying registration. A new registration is required in this case.

By using this process we wish to ensure that only you yourself, as owner of the stated email address, can register for the actual service.

You may unsubscribe from any of our newsletters which you subscribed to at any time. The easiest way to do this is to click on the link “unsubscribe” which is included at the end of each newsletter. You can also send us an email requesting to unsubscribe to

5. Consent required under Data Protection Law

We are only able to provide certain services if we have the consent to use your Data required for this purpose under data protection law. In such cases, we will expressly ask you for your consent and explain the relevant details to you.

Any consent declaration you may grant can subsequently be revoked at any time with future effect.

6. Use of Cookies

We use cookie technology for our website. Cookies are small text files which are sent to your browser by our web server in the course of your visit to your web pages, and which are stored on your computer for a later retrieval.

On the one hand we use so-called session cookies (also referred to as temporary cookies), i.e. cookies which are only stored temporarily while you use one of our web pages. The purpose of these cookies is to continue to identify your computer during a visit of our website when you alternate between our web pages, and to be able to determine the end of your visit. These cookies are deleted as soon as you end your browser session.

Further, we also use persistent cookies, i.e. cookies which remain stored on your computer after the end of your visit (also referred to as permanent cookies). The purpose of these cookies is to be able to recognize you when you visit our web pages again.

In addition to cookies placed by us, third parties with whom we cooperate may also place such cookies (so-called third party cookies). Currently, we are working with (provider of dynamic graphics) and (service which reads websites aloud) in this respect; personal data is not exchanged or used in this context. We also cooperate with Google; please refer to the following section for details.

Whether cookies can be placed or retrieved is up to you: you can control this via your browser settings. For example, you can wholly deactivate the storing of cookies in your browser, restrict it on certain websites or configure your browser in such a way that it notifies you automatically as soon as a cookie is to be placed, and requests your response thereto. For technical reasons, it is necessary that you allow the aforementioned session cookies in order to enjoy the full functionality of our website.

Via these browser settings, you can also determine for how long permanent cookies are stored, and delete them.

In this context, we do not collect or store personal data in cookies. Nor do we use any technologies which connect the information generated by cookies with user data.

7. Use of Google Analytics

It is important to us to design our web pages as well as possible and to thus make them attractive for our visitors. To this end, it is necessary that we know how our visitors like the various sections thereof.  In order to determine this, we use Google Analytics, a web analysis service of Google Inc. (“Google”). Google Analytics also uses cookies, i.e. text files which are stored on your computer and which facilitate an analysis of your use of the website. The information generated by the cookie about your use of this website is generally transmitted to a Google server in the USA and stored there. In this respect, we have activated IP anonymization so that your IP address is previously shortened by Google within member states of the European Union or other member states of the European Economic Area. The full IP address is only transmitted to a Google server in the USA, and shortened there, in exceptional cases. Google will use this information on our behalf in order to evaluate your use of the website, compile reports about the website activities and in order to provide other services relating to the use of the website and the internet to us as website operators.

The IP address transmitted from your browser within the scope of Google Analytics is not merged with other data of Google.

You can prevent the storage of the cookies by adjusting the settings of your browser software accordingly. We would like to point out, however, that in this case you may not be able to fully enjoy all functionalities of this website.

8. Use of Technical Service Providers

In the course of operating our website, we engage external service providers which provide technical support to us. We have carefully selected these and entered into contractual arrangements corresponding to the legal requirements with them to the extent access to personal data is possible. 

9. Routing to External Websites and Services 

We have integrated various services offered by third parties into our web pages, e.g. the log-in to our protected area via or services pertaining to the congress calendar. Technically, you are leaving our web pages in these cases and entering the website of the respective third party provider. Accordingly, in these cases, the respective third party provider is solely competent and responsible for any potential collection and use of personal data. Thus, if you have any questions, please contact the third party providers directly in such cases.

To the extent we route you to third party websites via links, this also applies. We may e.g. use such links to the various social networks; by contrast, we do not use so-called social media plug-ins for data protection reasons. 

In both cases, we would like to point out to you that a certain area of our website is offered by a third party provider, or that visitors are re-routed to such. 

10. Data Security

In addition, we have implemented technical and organizational safeguards in order to protect incoming or collected personal data, in particular against accidental or willful manipulation, loss, destruction or against attacks by unauthorized persons.
