Project Management Officer (PMO)

Midsized Countries

(Daiichi Sankyo Belgium)



The Position


As PMO you are responsible for the management, follow up, communication and facilitation of project management within the Midsized Countries (MSC: Turkey, Portugal, Ireland, The Netherlands, Belgium (including Luxemburg), Austria and Switzerland). You are also responsible for the organizational, administrative and logistics support of the Midsized Countries (MSC) Staff that are a subdivision of the Belgian affiliate. This is a new position of which we do not yet know exactly where the focus of the work will lie. The basis is a support function, and it will gradually become clear to what extent you will be involved in the projects.


The PMO will report to the VP Midsized Countries and will work closely with the MSC managers.



Main responsibilities


    Project Management


  • Provides project support for MSC staff  in their area of responsibility.
  • Responsible of the management, coordination, follow up, and reporting on projects.
  • Coordinates project plans and organize regular team update. You identify and flag potential plan deviation, and risks.
  • Participates to meetings, ensure agenda, minutes and action plan follow up and communication amongst team members
  • Internal event management: point of contact for internal and external meeting arrangements, including meeting room coordination, logistics and hotel booking. Plan, Execute and Coordinate the full process.
  • Boosts communication within MSC organization, act as a connecting force between parties, Lead and propose communication within project teams, ensure regular team updates.


Office Support and Logistics


  • Office Supply Management
  • Requesting quotes for goods and services, including follow up process and financials
  • Performs as resource of organization’s procedures, policies and practices.
  • Cooperates with varied staff members within as well as outside the MSC department 
  • Ensures that everything runs smoothly at the office and that guests receive a warm welcome.
  • Bridges information across department related to MSC organization: IT/Corporate communication / affiliates / HR



     Finance support


  • Contract management: Prepare Contracts, follow-up, and filing (digital and hardcopy) including performing quarterly audits on correctness of documents and processes.
  • Creation of Purchase Orders and follow up and completion process for all departments
  • Approves, coordinates, follows up invoices for DSBE, MSC; follows procedure around preparing for payment for financial administration for MSC
  • Close cooperation with budget responsible for MSC staff
  • Contact point for questions regarding invoices.
  • Creates and coordinate new Vendors in SAP


   Be compliant with the internal procedures regarding these activities. The activities regarding finance related matters are carried out in close cooperation with Finance.




  • Project or Business management Bachelor is a minimum
  • Experience in project support; in complex projects and multi country-organizations is a plus;
  • Excellent oral and written communication skills; in your native language as well as in English
  • Ability to handle workload; multitasker with excellent organizational skills
  • Be able to deal with fast changing environment; hands-on mentality and are flexible
  • Ability to deal with internal and external stakeholders;
  • Knowledge and experience of executive level support
  • Able to work independently within the set work;
  • Office 365 and SAP experience
