Team Support / Project Support Commercial Operations (m/f/x)
-limited for 24 months-

 

Roles and responsibilities:

  • Assistance of the department head and his team - coordination of appointments, telco and webconferences, organisation of business trips (CWT), travel expenses, external and internal meetings, i. e. visits of partners with hotel bookings, transfers, allocation of equipment and meeting rooms

  • Correspondence with partners for non-affiliate countries, internal distribution of correspondence, e.g. contracts; monitor  

  • Independently managing calendars as well as scheduling and confirming internal and external appointments including ordering catering and booking of meeting rooms                                    

  • Preparation of various excel files - sales data of business partners and powerpoint presentations related to management team meetings or special projects of department head                                    

  • Manage all departmental financial project related tracking, reconciliation, reporting and processing in SAP

  • Preparing and generating of purchase requisitions (BANF) in SAP                                    

  • Coordinating with procurement and maintaining tracking list about the study financial status                                    

  • Supporting month-end, quarterly and year-end close financial processes and reporting                                    

  • Posting goods receipts/service performances and monitoring of project milestones plus adapting finance planning to actual project status (handling of “Obligos”)                                    

  • Functional invoice review, correction handling with vendor and approval                                

  • Support preparation and review of cost planning and phasing; Compilation and reporting of accruals in consolidation with the Project Manager                                    

  • Creating contracts, using the Daiichi Sankyo ConTrax database tool                                    

  • Back-up for team and/or personal assistants (e.g. during holiday periods)     

 

 

Personal skills and professional experience:

  • Business Management Education such as certified business expert (kaufmännischer Fachwirt / Industriekaufmann/frau), certified business economist (Betriebswirt), or equivalent.
  • Experience of at least 2 years in business management functions in mid-sized companies, authorities or associations
  • Experience in business computer applications (Microsoft Office  and SAP)
  • Good Business management/project management skills
  • Very good English skills (fluent knowledge of the spoken and written word)
  • Good oral and written communication skills
  • Good knowledge/understanding of financial/accounting processes and administrative/organisational procedures and systems
  • Good interpersonal skills, team-player behaviour
  • Good organizational skills
  • Independent and goal oriented working approach
  • Great attention to detail and focus on flawless execution
  • Capable to manage multiple tasks in parallel
  • Demonstrates initiative
