Expert Administration Value and Access Business Management (m/f/x)

 

The Position:

The Value and Access Business Management Expert main mission is to support the European Value and Access team in their operational day-to-day activities and tasks and help the team achieving their strategy and objectives by identifying operational needs, process optimization opportunities and implementing efficient processes to deliver value and improve performance. 

 

Reporting:

The Value and Access Business Management Expert reports to the Head of Value and Access Specialty Medicines EU (Pricing, Access, HEOR and RWE).

 

Roles and Responsibilities:

Contract management:

  • Supports contractual planning aligned with the financial project planning/phasing
  • (Applies to both vendors as well as to external experts such as Health Care professionals or other external experts in the field of Health Economics e.g. when organizing Advisory Boards)
  • Supports the team as well as procurement to optimize vendor management (from RFP over tracking agreed milestones, phasing and follow-up on invoices, to closing projects)
  • Ensures all legal obligations & compliance rules are checked and followed
  • Ensures development of contracts, review by legal, storage in the relevant repository/ tools/systems etc. (e.g. Contrax)


Budget Management:

  • Generation of purchase requisitions for approved projects
  • Managing invoices and reconciliation with purchase orders (incl. tracking actual payment of invoices)
  • Maintaining budget and project tracker
  • Manage cross-charges where applicable according to applicable requirements
  • Ensures that project/department milestones/goals are met and adhering to approved budgets
  • Monitors actual performance against estimates and prepares annual and intermediate budgets
  • Supports the annual budget planning as well as quarterly & monthly phasing
  • Drives monthly budget and project meetings with the team/budget owners to ensure accurate tracking & phasing in place (milestones, budget, contracting etc.)
  • Monitoring and reporting of accruals
  • Review budget proposals and prepare financial documents
  • Financial/budget reporting and tracking including preparation of reports for senior management and DS Finance partners

 

Project Management:

  • Keep oversight & ensure an up-to-date overview of all European value and access projects
  • Support the team in maintaining an overview of value and access projects in the specified tool (Eg: Planner)
  • Support the team with initiation of new projects, as well as with their ongoing projects to ensure accurate follow-up & timely adaptations of plans/milestones where needed
  • Support the team in achieving team targets and follow-up as required to ensure the completion of projects within assigned timelines
  • Ensure filing and documentation in the necessary departmental and company repositories    
  • Contribute to the re-evaluation process of GOP/SOP and policy framework including alignment within DS group
  • Develop / maintain a list of Standard Operating Procedures (SOPs) and on-boarding training package/ training curriculum/ material for the team

 

Other: 

  • Inspection / audit readiness: define department inspection readiness process and timelines Identify inspection findings which require improvement of functional processes and support the development and implementation of solutions to maintain compliance. Review inspection reports to identify training needs and communicate those needs to those responsible for training
  • Collaborates closely with Compliance Team to ensure governance and oversight for Value and Access activities in line with current compliance guidelines/ requirements Enables the organization to stay safe about external and internal legal and compliance matters by following the established contracting process via the relevant tool (Eg: Contrax) when engaging HCPs/HCOs
  • Support the logistics planning for various congresses, meetings and Adboards, and serve as the liaison with internal business units for identifying synergistic /overlap meeting opportunities       
  • Organize the team meetings (internal and with affiliates), takes meeting notes and minutes
  • Create and maintain the team SharePoint site by uploading relevant content, keeping it up to date and conducting regular surveys to optimize the site
  • Support price certifications, notifications
  • Support the team in their knowledge management and with approval of value and access materials (linguistic/spelling checks, references check, ensure necessary approvals obtained, monitor validity of the materials etc.)
  • Order all publications needed for the different projects

 

Education & Professional Experience:

  • Bachelor’s degree in business management, economics or related field
  • Experience of at least 2 years in business & project management functions
  • Demonstrated project management skills
  • Good oral and written communication skills
  • Fluent in English (both in written as spoken); Knowledge of other languages considered an asset
  • Good interpersonal skills: Team-player with intercultural sensitivity and who likes caring for others
  • Good organizational skills, efficient way of working and planning
  • Great attention to detail / accuracy and focus on flawless execution
  • Positive and can-do attitude
  • Flexible and works well even under pressure
  • Good knowledge/understanding of financial/accounting processes and administrative / organizational procedures and systems
  • Excellent knowledge of Microsoft Office products (Word, Outlook, Excel, Power Point etc.)
  • Basic knowledge and experience with SAP
