HR Specialist

Midsized Countries

 

The HR Specialist provides support on employment-related matters and supports HR administration and operational activities in Midsized Countries (MSC) with a strong focus and priority on Austria and Switzerland. This function is part of the Human Resources department and is reporting to the HR Lead MSC who is based in The Netherlands.

 

Purpose of the job

The HR Specialist gives day to day administrative and operational HR support. He/she manages all day-to-day activities and duties concerning employer/employee relations, while being involved in the development of an effective HR policy and department in the long run.

 

Personnel & salary Administration

Core activities include but are not limited to:

  • Administer HR-related documentation, such as work contracts, agreements, and support in preparing / adjusting of internal procedures & policies
  • Ensure the relevant HR database is up to date, accurate and complies with internal and external policies/legislation
  • Maintain, and update relevant data related to several HR processes (absences, payroll, headcount planning, target setting, pay for performance, merit reviews)
  • Administrative handling of all personnel measures incl systemic implementation (such as entries and exits, transfers, changes in working hours, maternity/paternity)
  • Recording & Administration of personnel data
  • Support for time management, including 1st level support for employees
  • Follow-up on social legislation and liaise with benefit providers when required (e.g. insurances) in order to provide suitable advice to the Head of HR and/or employees
  • Support the Head of HR in local payroll management
  • Communicate and provide information internally and externally

 

Employee Relations

Core activities include but are not limited to:

  • Maintain and develop employee relations with a customer-oriented approach
  • Inform and communicate with employees according to lawful and ethical standards and ensure employee compliance with company policies
  • Assist in the administrative process of  evaluations, objectives and performance-related bonus policies.

Recruitment/Selection

Core activities include but are not limited to:

  • Manage recruitment administration including posting, coordination of meetings etc. 
  • Support in the coordination of the onboarding process in close collaboration with the Head of HR and the local managers
  • Assist in the timely and accurate administration of job descriptions according to internal procedures
  • Support in on- and offboarding

 

General & Corporate Communication services
Support the local Head of HR in some general and corporate communication tasks eg, but not limited to:
• Maintenance of corporate website
• Intranet
• Employer Branding
• Provide support in initiating and implementing corporate Social responsibility( CSR )activities
• Provide support in rolling out Corporate Campaigns
• CSR reporting: Quarterly/Annually

 

Furthermore, as HR Specialist, you assist in the implementation of the company’s future HR strategy and in other HR related projects, in close collaboration with the Head of HR.

 

Profile
• Bachelor degree in Human Resources or equivalent
• Minimum 3 years’ experience as an HR Administrative Assistant, Specialist or similar role
• Be fluent in written en spoken German and English and French is a plus
• Be a team player with a flexible, positive and ‘can do’ attitude
• Customer-centric Strong understanding of HR processes
• Strong communication skills.
• Problem-solving abilities.
• Capacity to work in a matrix organization
• Eager to collaborate at all levels in the organization (local & international)
• Be capable of demonstrating accuracy and attention to detail and follow through to ensure the completion of tasks
• Be willing to accept a wide spectrum of work assignments simultaneously
• Proficiency in Microsoft Office, Word, Excel and relevant software applications
