Purpose of the function

The Medical Operations Manager will play a key role in supporting the Medical Affairs team by providing administrative and operational support to Medical Managers and Medical Science Liaisons (MSLs). This role ensures the smooth execution of medical activities such as insights generation, evidence generation (e.g., clinical trials), and medical education. Across all activities, the medical operations manager will play a key part in operational efficiency while contributing to the delivery of high-quality medical initiatives.

Roles and Responsibilities

  • Coordinate logistics for medical activities such as advisory boards and medical education activities.
  • Manage medical documentation, maintaining compliance with regulatory and company standards.
  • Oversee the processing and tracking of contracts, budgets, and payments for external vendors and healthcare professionals.
  • Maintain accurate records in company systems, including tracking medical activities and compliance reports.
  • Assist in the operational coordination of clinical trials conducted in Canada, including site activation and trial logistics.
  • Manage trial documentation, ensuring compliance with regulatory and company standards.
  • Track trial progress and prepare status updates for internal stakeholders.
  • Support the development and deployment of medical education programs and materials.
  • Ensure educational content aligns with compliance and scientific standards.
  • Act as a central point of contact for MSLs and Medical Managers, providing resources and operational assistance.
  • Facilitate the distribution of compliant tools and materials for healthcare provider engagements.
  • Provide logistical support for MSLs’ external activities, including speaker programs and educational events.
  • Support MSLs with tools for engaging healthcare providers, including slide decks, compliance-approved educational materials, and event coordination.
  • Ensure all activities adhere to corporate and regulatory compliance standards.
  • Generate and maintain accurate reports on clinical trials and medical affairs activities.
  • Continuous Improvement: Regularly analyze program metrics, industry trends, and feedback to continuously improve medical affairs initiatives. Share insights and best practices with the broader team.

Further Roles and Responsibilities

Education & Experience

Education:
  • Advanced degree in life sciences, pharmacy, or medicine (e.g., M.Sc., Pharm.D., M.D., Ph.D. or other scientific degree with experience in Oncology. Required
Experience:
  • 2 to 5 years A minimum of 2 years of experience in the pharmaceutical industry, with a focus in medical affairs/clinical trials. Required

Skills and additional Requirements

  • Exceptional organizational, project management, and communication skills. Proven ability to manage multiple projects and meet deadlines in a fast-paced environment. High
  • Familiarity with industry compliance standards and guidelines (e.g., Innovative Medicines Canada). High
  • High self-motivation, assertiveness and goal orientation. "Hands on" mentality. Ability to work in a matrix and multicultural organization. High
  • Ability to travel as needed, including overnight and weekend trips High
  • Work minimum 3 days per week in the Toronto office High
  • Proficiency in French is an asset. Low
